Open Research

 

PhD Students (and the following Doctoral students: Doctor of Business, Doctor of Engineering, Doctor of Education, Doctor of Medicine, Doctor of Medicine under Special Regulations), must submit an electronic copy of their thesis to Apollo, the University's open access repository. You’ll do this using Symplectic Elements. This makes sure your research is stored securely, shared appropriately and preserved as part of the scholarly record.

Things to do before you submit your thesis

Make sure you are ready before submitting your thesis. You should:

Including additional material

Additional material is content that forms part of the examined thesis, but it can't be contained in the thesis file, e.g., due to its layout. You need permission to include this material with your thesis (unless you are in the Faculty of Music).

Including supporting research data, code etc., 

You can upload material that supports your thesis but which has not been examined (such as your supporting research data, or code). Upload it separately in Sympletic Elements and we will link it to the thesis record in Apollo for you. 

Using Symplectic Elements to deposit your thesis

You’ll use Symplectic Elements to upload your thesis and deposit it into Apollo. You will need to follow these steps:

  1. Log in to Symplectic Elements
  2. Complete the upload form with details about your thesis
  3. Follow the prompts to deposit your thesis in Apollo.

Once you have finished, a ticket will be created. The Thesis Team will review your submission and complete the deposit. They will contact you if needed and they will send a confirmation when it is complete.

If you are a candidate for the MD by Special Regulations, contact the Thesis Team once the Student Registry has confirmed you can submit.

Uploading the correct files

This table explains the file descriptions that you can use to upload your thesis and related documents in Symplectic Elements.

Thesis 

This is the final approved version, identical to the hardbound copy. Submit as a PDF.

Choose this file type if you are not also providing a redacted copy of the thesis.

Thesis (unredacted)

This is the final approved version, identical to the hardbound copy. Submit as a PDF.

Choose this file type if you are also providing a redacted copy of the thesis.

Thesis (redacted)

This is a version of your thesis with sensitive or copyrighted content removed. Submit as a PDF. The hardbound copy must remain unredacted.

Remember to submit a 'Thesis (unredacted)' file as well. 

Thesis (restricted)

This is the final approved version, identical to the hardbound copy. Submit as a PDF.

Choose this if your thesis will be under access restriction (temporary or permanent). Submit as a PDF.

Thesis access form

Must be signed by you and your supervisor. If you choose restricted access, it must also be signed by your Degree Committee.

If your supervisor cannot sign the access form, contact the Thesis Team for an email template they can use.

Supplementary material

Files that are part of the examined thesis but are in formats that cannot be included in the main PDF.

Sensitive or copyright files

Upload proof of consent or permission here. These will be stored in Apollo but not shown on your public record.
